Overview

The Executive Assistant is responsible for providing overall executive assistance for multiple executives and staff support as well as serve as administrative liaison with others inside and outside of the business regarding administrative issues.

Responsibilities

  • Coordinate and attend meetings, constructing agendas, distributing minutes and ensuring action points are followed up
  • Diary management for the Executive team – setting up meetings, calls and resources as required, ensuring any conflicts are identified and managed appropriately
  • Assisting the Executive team with ad-hoc projects
  • Provide administrative support, assist visitors, and resolving and/ or referring a range of administrative problems and inquires
  • Prepare expense reports for review and submission
  • Assist with making travel arrangements, as well as scheduling appointments and meetings
  • Take and relay telephone messages as well as answer routine inquiries as appropriate
  • Perform clerical tasks, i.e., filing and copying of correspondence or other printed materials
  • Maintain correspondence and data files
  • Prepare outgoing mail and correspondence, including email and faxes
  • Manage meeting room requests and ensure rooms are prepared accordingly, keep meeting rooms neat
  • Order office supplies and stationery on a weekly or as needed basis

Qualifications

Education:       

  • High School diploma or GED required
  • Associates or Bachelor’s Degree preferred or 5+ years Executive Assistant experience 

Experience:     

  • Administrative office experience is preferred
  • Experience with Microsoft Office (Outlook, Word, Excel, Power Point)
  • Experience with Concur Application and D365 software preferred
